Job description

Summary The Shop Administrator manages the purchase order process, fleet and office supply, work order process and review, and DOT asset records processes. The Shop Administrator will report directly to the Fleet Maintenance Manager and Fleet Maintenance Supervisor. Job Description: - Generate external repair purchase orders in Fleetio to support maintenance operations. - Execute month end close processes by ensuring all mechanic work orders are entered and all open purchase orders are reconciled and closed. - Audit parts charge outs against corresponding work orders to ensure accuracy and proper cost allocation. - Receive and verify parts deliveries to maintain accurate inventory and workflow continuity. - Reconcile Workday labor hours with work orders and develop labor efficiency reports for the Fleet Manager. - Produce daily and weekly reports on mechanic hours and overtime for both the Fleet Manager and General Manager. - Maintain complete and compliant truck files, including DMV registrations, preventive maintenance schedules, and work order documentation. - Support the Fleet Manager with research and documentation for approval requests, including large dollar repairs for flee...
